Gazelle Safari Company Limited (The Company) a DMC offering Authentic African safaris; in Uganda, Rwanda, Kenya, Tanzania, Madagascar and Southern Africa (Botswana, Namibia, Zambia, Zimbabwe, and South Africa).
Please take some time to explore our terms and conditions, since they are a basis for our obligations as well as commitment to you.
In these terms and conditions “WE” and “US” refers to Gazelle Safari Company Limited and “YOU” refers to parties undertaking our service(s) including additional and/or substitute parties at a later date of service. The terms may be amended every now and then, should the need arise to do so.
Service delivery and facilities in Africa may not be as developed as back home, such as roads, medical care, security, and safety measures, so kindly bear with us.
It is important to note that once you arrive, you will be considered a law-abiding resident under the laws governing the particular country(ies) visited. These laws apply once you successfully acquire a Tourist Visa of that particular country(ies). Therefore, your home country's laws will not apply.
The itinerary description and information offered by us in respect to national parks and animals, sightings, accommodation, gorilla/chimpanzee permits as well as security/safety; is offered under due diligence based on updated and prevailing information, which is carefully analyzed to ensure the accuracy. We decline to accept liability out of errors or omissions resulting from matters beyond our control.
Unless a client specifically requests a particular hotel/lodge; we reserve or recommend the best accommodation facilities at reasonable prices according to the client’s travel style and specific budget. We reserve the right to substitute similar hotels/lodges, in case a particular hotel/lodge is unavailable at the time of booking; you will therefore be informed regarding the corresponding changes.
We endeavor to arrange shared accommodation and/or single occupancy based on the client’s room preference; a single room supplement will only apply to a particular group requiring an assorted room arrangement: The accommodation price is on a per person or per room basis (double/twin/triple and single) based hotel/lodge price description.
We reserve the right to cancel or amend confirmed service(s) due to unforeseen circumstances; although, we always endeavor to avoid cancellations and create room for amendments. However, we shall not cancel your confirmed booking less than 45 days to the start date; unless compelled by a serious unforeseen circumstance beyond our control: Wars, Terrorist Attacks, Disease outbreaks (epidemics/pandemics), and Natural Catastrophes.
If we cancel your service/holiday resulting from force majeure, except for where you have defaulted on payment, we may offer you a choice of an alternative service/holiday of similar standards/price to that of the originally booked if available. Should the selected alternative turn out slightly above the standards/price of the original/canceled holiday, you will be required to top-up the difference which will be invoiced upon confirmation. Alternatively, you are entitled to a refund of money paid, except for gorilla and chimpanzee tracking permits which can only be refunded if we resale or acquire a refund from Uganda Wildlife Authority.
Except if we cancel due to the unforeseen circumstances mentioned in this clause; we shall have no further liability to you.
We also reserve the right without prior notice to terminate the holiday of any person in your party if, in our opinion, or any other person in authority, if the person concerned behaves in such a way to cause or be likely to cause danger, annoyance or distress to any third party or damage to property/environment.
In this situation, the person(s) concerned will be required to leave the accommodation and/or related service immediately. We shall have no further responsibility towards such a person(s). No refunds will be made and we shall not pay the expenses or costs incurred resulting from such a termination.
Should you or any member of your party be forced to cancel, you should advise us in writing. A cancellation is not effective until we receive a copy of your written notice. To cover our estimated loss caused by the cancellation and as we may be unable to resell your holiday.
All voluntary cancellations will be handled according to our prevailing cancellation policy; this will require written prior notice (within 21 Days) with supporting documents to us. Once your reason is verified, a refund will be processed within 30 working days; but less applicable government taxes, accommodation, and primate tracking permit deposits and all transaction costs incurred.
Once an invoice has been sent and a deposit made, cancellation fees excluding accommodation deposits and tracking fees for permits will be subject to the following deductions, per person.
Kindly note that cancellation fees are based on the date of receipt of your written notice at Gazelle Safari Company.
All complaints arising must be reported to our representative immediately and to the concerned supplier(s), who will ensure that the problem/query is resolved. If you remain dissatisfied; submit a written report to our office or by email (info@gazellesafaricompany.com) as soon as the incident happens, but not later than 14 days after completion of your holiday and/or related service(s). Regrettably, any liability from complaints not notified under this procedure will not be accepted.
We regret to decline liability or compensation, where the delivery of our obligation(s) is hindered by an unforeseen event that we or the service supplier(s) could not avoid.
Unforeseen events such as war or threat of war, riots, civil strife, boarder/road closures, unexpected government acts, terrorist activity, industrial disputes, fire, pilferage, epidemics/pandemics, mandatory quarantines, dangers, incidents to sea, land, air travel, and other similar acts or incidents beyond our control.
We outsource transport, accommodation/restaurant(s), and other related services from various independent suppliers that are not liable to us. We, therefore, decline liability for; death, personal injury, property damage or other loss resulting from acts of omission or negligence by supplier(s) or by reason of or any other event over which we have no control.
We reserve the right to revise our foreign exchange rate(s) without notice to reflect the prevailing market prices or tariff rates before sending you an invoice.
We also reserve the right to withdraw a tour or service to make necessary alterations out of necessity to mitigate consequential expenses and/or losses from delays and/or events beyond our control.
Depending on the itinerary confirmed, we always recommend a few optional activities at some of the destinations visited: Some of these activities involve inherent risks of personal injury; including but are not necessarily limited to:
Kindly be aware that your safety is not guaranteed whilst on such activities: It is your right to participate, but you should however note that participation is entirely at your own risk, and we do not accept liability for accidents or injury.
Once you confirm your trip (which involves primate trekking): A mandatory 100% deposit (UWA Policy) is required to guarantee permit(s). This is based on availability at booking. Therefore, for us to purchase permits for primates, you will be required to clear all the permit fees at the time of booking.
In order to match the best tracking dates available, we may alter the itinerary or accommodation(s) to avoid postponing or exceeding your planned trip duration.
Obtaining a primate tracking permit does not necessarily guarantee seeing the gorillas/chimpanzees. The prevailing conditions sometimes hinder access to the gorillas at very short notice. We will therefore not accept liability for any circumstance under which gorilla and/or chimpanzee viewing is canceled, whether it is the closure of the national park, absence of gorillas/chimpanzees, security operations, and other unforeseen factors. However, the park rangers and trackers will make every effort to maximize your chances of seeing the gorillas and/or chimpanzees (Regardless; chances still stand at 98%).
Although there is room for rescheduling permits to a later date, refunds remain at the discretion of the relevant authority (UWA) and we cannot accept liability for such. We shall explore all efforts to obtain your refund once obtained; we shall pass it on to you.
It is important to note that last-minute reschedules attract a 20% surcharge. is applied to (Last minute rescheduling not later than 7 days to the tracking date and subject to availability of the new date).
It is advisable that before you take a holiday with us, you have appropriate insurance for the type of holiday taken. Such insurance should fully cover, death, personal injury, medical expenses, repatriation, cancellation or curtailment of the holiday by side, and loss of, damage to, or theft of clients’ personal property. Activities with a greater inherent risk such as mountaineering, animal tracking, and all water-related activities, should be covered.
Emergency Medical Evacuation cover shall be arranged by Gazelle Safari Company through AMREF/BAR SOS in case of accidents whilst on safari.
The principal company (Gazelle Safari Company) is fully incorporated in Uganda and Rwanda, and it fully operates under the laws of “The Republic of Uganda”, and the Republic of Rwanda.
We shall make all reasonable efforts to ensure that (a) all parts of your holiday are supplied as described in the brochure and to a reasonable standard and (b) our employees, agents, suppliers, and sub-contractors will exercise due care in executing our obligations under the contract. We shall accept responsibility for what our employees and sub-contractors do or do not do (provided they are at the time authorized by us). If any part of your holiday is not offered as advertised, and to a reasonable standard, we shall pay you an appropriate compensation if any part of your enjoyment has been affected; provided you follow the complaints procedure in our terms and conditions.
This acceptance of responsibility is subject to the clause relating to “Force majeure” above and these terms and conditions generally. Our maximum liability in respect of complaints (except where death, personal injury or illness results or where loss or damage of possessions or luggage which are dealt with below) is limited to an amount equal to the cost paid by or on behalf of the person affected for the relevant services. The maximum amount will only be payable where the person affected has derived no benefit from the holiday and none of the services contracted have been provided. Liability for loss or damage to luggage or personal possessions (including money) will only be compensated to a maximum of 30 USD on the basis that the client is assumed to have taken out adequate insurance cover with respect to such losses at the time of booking.
We will take all due care to prevent death, injury, or illness being caused by animal or insect life of the destinations. However, it is your responsibility to take proper medical and practical precautions in this regard and your attention is drawn to the section in the Travel Notes relating to Health. Medical advice should be sought well before traveling. Subject to these terms and conditions, we accept responsibility should you or any of your party suffer death, personal injury, or illness as a result of any failure to perform or improper performance of the contract by any of our employees, agents, or sub-contractors. We will not be liable where any failure to perform or improper performance was due to (i) the acts or omissions of a third party not connected with the provision of the holiday under the contract, and which were unforeseeable or unavoidable; (ii) an event which we or the supplier of the relevant services could not have foreseen or avoided with all due care. Any claim must be notified to us under the complaints procedure set out above. Any person to whom any payment is made (and their parent or guardian if that person is a minor) must assign to us and our insurers any rights they may have to pursue any third party in connection with the claim and provide all necessary assistance to us and our insurers that be reasonably required.
Good physical and mental health is essential for the enjoyment of these active, outdoor tours. You may travel in rugged areas away from modern medical facilities. Good physical conditioning is recommended as preparation for all tours requiring your physical activity.
By forwarding the deposit, the passenger certifies that he/she does not have any physical or other condition of disability that will create a hazard to self or other passengers. Any participant with a medical condition requiring regular treatment or which may be affected by vigorous activity, high altitude, heat, cold or other natural phenomenon or particular foods must notify us and the tour leaders in writing prior to the start of the trip.
We assume no liability for medical care nor for special dietary requirements if not informed well in advance. The medical requirements in some places like Ngamba Island is the sole responsibility of the client to meet them.
Once you confirm your tour/service (and accept our terms and conditions); you will receive a booking form with a Proforma invoice from us: Thereafter, return your signed copy of the booking form, with proof of your 50% DEPOSIT of the total cost to facilitate reservations (email to; info@gazellesafaricompany.com).
If an acceptance notice is still not received from your end; any deposit received after invoicing, will imply acceptance of our terms and conditions. The remaining balance (50%) should be cleared 60 Days before the start or arrival date.
We reserve the right to take photographs of individual participants for commercial promotion of our services: Members who prefer not to be photographed will be asked to identify themselves to the assigned tour guide at the start or notify us by email to that effect.
Our prices include Airport Transfers (Toyota Minibus), Safari Transportation (4WD Toyota Land Cruiser), accommodation and meals as stated, daily mineral water on safari, an English-speaking Driver/Guide, with all park fees per itinerary schedule, plus gorilla and chimpanzee permits where applicable.
We will also include an invoice for extra items and/or services that have been requested and approved by the client. Unless requested; such extras will be considered “exclusions” to be paid directly to the supplier(s) upon request – Extras such as: Dayroom(s), snacks and all drinks, laundry service, visas, flights, accommodation upgrade(s), FastTrack service, VIP transportation and more according to the client’s needs.
The company reserves the right to vary the safari services agreed with the client in the event of unforeseen circumstances mentioned under “force majeure”. In such cases, alternative arrangements will be made in case the prevailing circumstances permit.
We ensure that every person is allocated a window seat in the vehicle. Every effort is made to ensure that every vehicle is provided in a road-worthy condition, but no liability can be accepted for any delay due to breakdown and/or damage(s). Our guides are instructed to follow our code of conduct for guides, which you must not ask them to break. In case the driver is not disciplined, please inform our office in Kampala immediately. In case of a breakdown, it is our responsibility to rectify the situation to keep the tour moving accordingly. We can either withdraw the vehicle in question or replace it or if the breakdown is minor and can be rectified, we reserve the right to do so.
My (“your”) advancement of a deposit to Gazelle Safari Company Ltd certifies that I (“you”) have carefully read and fully understood the contents of the Terms and Conditions. On the advance of a deposit, to Gazelle Safari Company; the depositor, his or her other travel partners, as well as home next of kin, agree to be bound by the stated Terms and Conditions.
The Parties hereto affix their signatures on the place and day and year herein before stated.
